How to use Upvotebell

Upvotebell turns a monday.com board into a customer feedback engine: visitors submit and upvote ideas on a branded public portal (no account needed), your team triages them on the board, and voters are emailed automatically whenever an idea’s roadmap status changes. This guide covers installation, first-time setup, and every building block.

Prerequisites

  • A monday.com account (any plan — Free, Standard, Pro, or Enterprise).
  • A main (public) board for your feedback. Private and shareable boards aren’t supported because the portal exposes ideas publicly.

Step 1 — Install & permissions

Install Upvotebell from the monday.com Marketplace. During install you’ll be asked to approve these permissions:

  • Read boards — read ideas (items), columns, groups, and statuses for the triage inbox and the roadmap.
  • Write boards — create a board item when you approve a portal submission, add the roadmap status column, and move statuses.

That’s it — there’s no extra connection step. The moment the app is installed the board, item, and settings views work, and your public portal is live. Upvotebell only writes to your board using your own monday.com session while you’re working in the app; it never stores a standalone access token.

Step 2 — Add the views to a board

Open a board, then add the Upvotebell board view (the “+” next to your board tabs → Apps → Upvotebell). The Upvotebell Idea item view is added per item.

Step 3 — First-time setup (once per board)

The first time you open the board view, a welcome screen walks you through setup. Upvotebell needs a status column for roadmap stages:

  • Create the roadmap column — one click adds a Status column pre-seeded with Under review → Planned → In progress → Shipped.
  • Use an existing status column — if your board already has one, Upvotebell detects and uses it automatically.

Step 4 — Share your portal

Use Copy portal link in the board view to grab your public URL, then share it with customers (in-app, email, help center, or social). Visitors can submit and upvote ideas without a monday.com account.

Manage or unpublish a portal

Open the Upvotebell Settings view (via the app’s account settings) to see every board’s portal with a Live / Offline status. To take a specific board’s portal offline, click Take offline — the public link immediately returns a 404 and new submissions, votes, and comments are refused. Your ideas stay on the monday.com board, and you can click Publish to bring the portal back anytime. Uninstalling the app takes every portal offline and deletes your app data.

Step 5 — Triage & close the loop

  1. New portal submissions land in the Submissions tab of the board view. Click Approve to create a board item for the idea and publish it to your portal and roadmap, or Dismiss to ignore it.
  2. Ideas your team adds directly on the board appear in the Inbox tab; hit Publish to show them on the public portal.
  3. Open the Upvotebell Idea item view to see who voted for an idea (their email, so you can follow up with customers) and to read its public comments. If moderation is on, new comments arrive Pending review — click Approve to publish a comment to the portal or Dismiss to reject it.
  4. Move an idea across the roadmap by changing its status in the board or item view (Under review → Planned → In progress → Shipped).
  5. Every status change automatically emails the voters and followers of that idea, so customers always know what happened to their feedback.

User roles

Admins and members get the full experience. Viewers (view-only seats) can’t use the monday.com API, so they see a notice asking an admin to assign a seat. Guests can read but not make changes.

Frequently asked questions

Do visitors need a monday.com account to vote?

No. Anyone with the portal link can submit, upvote, and comment using just their email. The email is only used to prevent double-voting and to notify them about that idea.

Where do ideas, votes, and comments live?

Approved ideas live on your monday.com board, which stays the system of record for your team. The public portal reads and writes its own database (powered by Supabase) for submissions, votes, comments, and follower subscriptions — so the portal is fast, there’s no subitem clutter, and there are no item caps. The board view keeps the two in sync.

Does Upvotebell store a monday.com access token?

No. Upvotebell is token-free: it only writes to your board using your own short-lived monday.com session while you’re working in the board or item view. The public portal never touches the monday API. The only personal data stored is voter emails, encrypted at rest with AES-256-GCM.

What happens when I uninstall?

We delete your account data — including votes, comments, and voter emails — within 10 days (typically within 7), and your public portal returns a 404 immediately. Your ideas remain on your monday.com board.
